Stakeholder Groups

Understanding different stakeholder categories represents the initial step. Four primary groups exist:

Players (highest interest and power): Collaborate through workshops, develop roadmaps together, engage during sprint reviews.

Context Setters (low interest, high power): Obtain direct input from this group.

Subjects (high interest, low power): Involve them during sprint reviews and key decisions.

The Crowd (low interest and power): Communicate updates via Slack or email.

Alternatively, categorize stakeholders by role:

  • Executives focus on vision and strategy, wanting visibility into product impact on company performance
  • Developers prioritize product roadmaps and efficient agile development processes
  • Salespeople emphasize competitive advantages their product features provide
  • Marketers seek understanding of key product attributes and customer benefits

Managing Different Stakeholders

Customers: Prioritize simplicity in communication. Keep messages concise and focused on problem-solving. Base decisions on data, comprehension, and intuition.

Executives: Maintain high-level communication, providing details only when requested. Emphasize company benefits and develop strong product narratives.

Product Teams: Explain the “what” and “why”; let specialists determine “how.” Help them grasp product impact and customer value.

Marketing, Sales, Support, Operations: Explain “what,” “why,” and “how” so they understand customer value creation. Incorporate their feedback into roadmap prioritization.

Challenges in Stakeholder Management

Stakeholder management presents significant complexity for product managers. Coordinating people with differing opinions, expectations, agendas, and communication styles demands considerable skill and patience.

Communication emerges as the primary challenge. Miscommunication creates understanding gaps and execution failures. Active listening to stakeholder needs and concerns proves essential.

Strategic approaches include:

  • Establishing clear communication channels and expectations from project inception
  • Conducting regular check-ins, progress reports, and status updates
  • Creating shared ownership by involving stakeholders in decision-making
  • Actively soliciting input and feedback throughout the process
